    Do you ever feel like there are simply too many moving parts in your farm business to keep track of them all?

    Farm admin, production, maintenance, staff, family commitments, compliance, holidays, projects. It can all be happening at once, and when most of that information is sitting in your head, the mental load can become enormous.

    I’m sharing one of the planning systems I’ve used for the past five or six years to help me see the whole farm business in one place. My annual operational planner is a simple 52-week overview that shows me what needs to happen, when it needs to happen and which part of the business it belongs to.

    What I love most about this farm business system is that it makes the invisible visible. When I laid our year out week by week, I realised that in most areas of the business there is really only one priority task each week that absolutely has to happen to keep the show on the road. That was a huge relief.

    In this episode, I explain how I divide our farm business into departments, from personal and family commitments through to production, maintenance, farm office management, farm admin, safety, team holidays and major projects. I also share how we use the planner for quarterly planning, team communication and holiday preparation, and why having this information visible means the farm business isn’t so dependent on everything being stored in one person’s head.

    Do you ever feel like you’re working hard, keeping the farm office ticking along and carrying a huge mental load, but still not making the progress you’d like?

    I know that feeling. I’m not a natural planner, and for years I bought beautiful annual diaries that mostly stayed empty. What changed things for me was building a planning system that suited the way I think and work

    In this episode of Farm Office Toolbox, I’m continuing through my 10-point framework for an organised farm office and talking about point three, building a planning cadence.

    I share how I use weekly, monthly, quarterly and annual planning to manage my farm business administration, family commitments, goals and projects without expecting myself to do everything at once.

    I’ll take you through the planning systems I’ve built over the years, including my quarterly planner, monthly planning, weekly time blocking, recurring farm admin tasks, goal setting and regular reviews.

    I explain why looking at the same period from several different angles helps me make more realistic decisions about my time and capacity. Rather than having one enormous to-do list hanging over me, I can see what’s already happening in the farm business and family, decide what really matters and break bigger goals into much smaller pieces.

    I also share why I deliberately leave buffer time in my week for phone calls, questions, travel, breaks and all the unexpected things that are simply part of farm life. Planning this way has helped me start fewer projects, finish more of them and keep moving forward without constantly running myself into the ground. It’s become an important part of my time management and farm office management, and one of the farm business systems that helps me reduce overwhelm and feel calmer and more organised.

    When I consistently use my planning cadence and Farm Office Toolbox, life feels smoother. I’m more positive, relaxed and resilient when the inevitable curveballs arrive.

    Do you know you need help in your farm office, but the thought of delegating feels like another job to add to the list?

    I’ve been there. For a long time, I knew I had too much to do, but I was caught up worrying about what to delegate, how to explain it, whether it would be done properly and whether I could justify paying someone to help.

    In this episode of Farm Office Toolbox, I’m sharing why I eventually chose to employ a part-time administrative assistant and some of the mindset shifts I had to make before I could let go of some of my farm admin.

    I talk about how my farm office systems and simple checklists helped me break the enormous job of “doing the books” into smaller, manageable tasks. That made it much easier to see what I was good at, what I enjoyed doing and what could be handed to someone else.

    I also share my earlier experience of employing a housekeeper when my children were little, and why getting the right help at the right time made such a difference to our family and our farm business.

    Delegation isn’t only about farm productivity or time management. For me, it has also meant challenging some deeply held ideas about what a farm woman, wife and mother should be able to manage on her own.

    Every farm business pays for its administration one way or another. We can pay proactively through our own time, an employee, a contractor or professional farm business support. Or we pay for it when things slip through the cracks through mistakes, fines, missed opportunities, burnout and precious family time.
